How to Preview and Publish Your Form

How to preview your form safely and publish updates so applicants see the correct version.

When Should I Use This?

Use previewing and publishing when you need to:

  • Test changes before applicants can see them

  • Confirm the form looks right and follows your intended flow

  • Save progress without making it live yet

  • Make finalized updates live by publishing

Step-by-Step Instructions

  1. Open your program’s FORM editor.

  2. Turn on Edit Mode (Toggle) to make changes and updates to the form.

  3. Turn on Preview (Toggle) to view and test the form.

  4. (Optional) In Preview, use the English dropdown to switch languages and confirm the translated view.

  5. Make your edits (fields, sections, text, settings) as needed.

  6. Click Save Changes to save your updates without making them visible to applicants.

  7. When you’re ready for applicants to see your updates, click Publish (Blue button) to apply all saved updates and make them live.

  8. Turn off Preview (Toggle) and Edit Mode (Toggle) when you’re done.

Common Mistakes to Avoid

  • Saving but not publishing: Save Changes does not make updates visible to applicants. You must click Publish (Blue button) for changes to go live.

  • Skipping preview: Publishing without testing can lead to confusing applicant experiences (missing questions, wrong wording, unexpected flow).

  • Activating a program too early: Do not activate a program if the FORM is not complete and published, since applicants may see sections and fields that are not configured.

Best Practices for FORWARD Direct Users

  • Use Preview (Toggle) every time you change applicant-facing text, add fields, or reorganize sections.

  • Use Save Changes as you work in drafts, then Publish (Blue button) only when you’re confident the form is ready.

  • Before activating a program, confirm the FORM is complete and published to reduce rework and prevent applicant confusion.

  • If your form supports multiple languages, use the English dropdown in Preview to check each language view before publishing.
